Video conferencing kits for meeting rooms of every size

A video conferencing kit is a matched set of room devices that turns a meeting room into a ready-made Microsoft Teams Rooms, Zoom Rooms or USB meeting space. A typical kit combines a camera, microphones, speakers, a meeting compute unit and a touch controller, so the room joins calls with one tap instead of a laptop. This collection covers kits from Yealink, Logitech and Shure, plus the expansion microphones, controllers and cables that complete them.

The kits range from compact sets for huddle rooms to modular systems for boardrooms with several cameras. If one device under the screen is enough, compare Video Bars & All-in-One Systems; if an existing room only needs a better camera, see PTZ Cameras; and if speech pickup across a large table is the problem, start with Ceiling & Conference Microphones.

How to choose a video conferencing kit

Platform and meeting compute

Decide first which platform the room will run, because the kit's compute and controller are built around it. The Yealink MVC S series are Microsoft Teams Rooms systems on Windows: the MVC S40, S50, S80 and S90 use the MCore 4 mini PC with an Intel Core Ultra 5 processor, 16 GB of memory and a 256 GB SSD. The Shure IMXF5 IntelliMix Foundation System pairs a Windows compute with an 8-channel IntelliMix Room DSP and an 11-inch touch panel for Teams Rooms or Zoom Rooms.

Room size and audio pickup

Match the microphones to the furthest seat. The Yealink SmartVision 40 camera in the MVC S40 has 8 MEMS microphones with a 6 m pickup range, while the MeetingBar A50 inside the MVC S50 has 16 microphones and a 10 m range. Logitech Rally systems start with one Rally Mic Pod for up to 16 participants and add 6 participants per extra Mic Pod, up to 7 Mic Pods. Large rooms often add ceiling microphones to the kit.

Camera coverage and framing

The camera decides whether remote participants see faces or a distant table. The Yealink MVC S40 uses a dual 48 MP camera with a 120° diagonal field of view for small to medium rooms. The MVC S80 uses the SmartVision 80, a four-lens camera with 20x optical zoom and presenter tracking up to 20 m. The Logitech Rally camera offers 15x HD zoom (5x optical) with 180° pan, which suits long boardroom tables and training rooms.

Control, content sharing and management

Touch controllers and content sharing

Every room kit includes a controller so users can start, join and end meetings without a keyboard. The Yealink MTouch Plus has an 11.6-inch 1920 × 1080 screen, and the MCore 4 accepts HDMI input for 4K content sharing. The Logitech Rally Bar Huddle runs Microsoft Teams Rooms, Zoom Rooms or Google Meet, and in BYOD mode it works with a laptop's own meeting app without an extra room licence.

Remote management and updates

Plan how IT will monitor the rooms after installation. Shure IntelliMix systems are managed through Shure Designer, ShureCloud, the Teams Rooms Pro Management Portal and Zoom Device Management. Yealink MeetingBar devices support the Microsoft Teams Admin Center, the Pro Management Portal and Zoom Device Management, and Logitech room devices are managed in Logitech Sync.

Where video conferencing kits are used

Huddle rooms and focus rooms for 2 to 6 people use compact kits built on one camera bar, while medium meeting rooms and boardrooms use kits with expansion microphones, a dedicated compute and sometimes two displays; see Boardrooms & Meeting Rooms. Organisations that standardise many rooms on one platform can plan the full rollout through Video Conferencing & Hybrid Workspace Solutions. In UAE offices with glazed façades, place cameras so participants are not backlit by windows, since strong daylight behind a person darkens faces on camera.

Installation and room planning

A kit performs as well as the room it is installed in. Before ordering, check:

  • Display size and position: mount the camera at the display edge, close to eye level, so participants look at the camera when they look at the screen.
  • Network and power: room kits need wired network ports for the compute and controller, and some microphones and controllers draw PoE from the switch.
  • Acoustics: hard walls and glass add echo, so test speech pickup from the furthest seat before finalising microphone positions.

Mount the meeting room display and any floor stand or trolley with a rated VSYS mount that matches the display's VESA pattern and weight, and leave space above or below the screen for the camera bar.

Video conferencing kits by room size

The main kits in this collection fall into three room-size groups.

Applications and technical planning

  • Huddle and focus rooms

Small rooms for 2 to 6 people need a quick, one-touch meeting start. A compact kit such as the Logitech Rally Bar Huddle or the Yealink MVC S40 places the camera, microphones and speakers in one bar under the screen, with a touch controller on the table.

  • Boardrooms

Boardrooms with long tables need optical zoom and microphones that reach every seat. Kits such as the Yealink MVC S80, with 20x optical zoom and presenter tracking up to 20 m, or the Shure IMXF5 with ceiling arrays, keep remote participants close to the discussion.

  • Training rooms and classrooms

Training rooms combine a presenter at the front with participants in the room and online. Kits with optical zoom cameras and expandable microphones, such as the Logitech Rally system with up to 7 Mic Pods, cover both the presenter and the audience.

Frequently asked questions

What is included in a video conferencing kit?

A video conferencing kit usually includes a camera, microphones, speakers, a meeting compute unit and a touch controller. The Yealink MVC S40, for example, combines the SmartVision 40 camera with 8 microphones and 2 speakers, the MCore 4 mini PC and an MTouch controller with an 11.6-inch screen.

Some kits use a video bar in place of a separate camera and speakers. The display, mounts and network switch are normally ordered separately, so check what each kit contains before planning the room.

What is the difference between a video conferencing kit and a video bar?

A video bar is one device with a camera, microphones and speakers, while a kit is a set of separate devices chosen for a larger or more demanding room. The Yealink MVC S50 shows the difference: it uses the MeetingBar A50 in USB mode, and adds the MCore 4 compute and MTouch Plus controller to run Microsoft Teams Rooms on Windows.

Kits add room for expansion, such as extra microphones, a second camera or a second display.

Which kit suits a small huddle room?

A small huddle room is usually served by a kit built around one camera bar. The Logitech Rally Bar Huddle is 549.6 mm wide and weighs 1.8 kg, and it can run Microsoft Teams Rooms, Zoom Rooms or Google Meet, or work in BYOD mode with a laptop.

The Yealink MVC S40 is designed for small to medium rooms, with a 6 m microphone pickup range and a 120° diagonal camera view that keeps people close to the camera in the frame.

How many people can a Logitech Rally system cover?

Logitech rates the Rally system with one Rally Mic Pod for up to 16 participants and the Rally Plus with two Mic Pods for 16 participants. Each additional Mic Pod adds about 6 participants, and the system supports up to 7 Mic Pods, which Logitech rates for up to 46 participants.

Each Mic Pod has a pickup range of 7 m in diameter, so pods are placed along the table to keep every seat within range.

Do I need a Microsoft Teams Rooms or Zoom Rooms licence for a room kit?

Yes, a room kit that runs Microsoft Teams Rooms or Zoom Rooms needs the platform's room licence for that room. The licence is bought from Microsoft or Zoom and is separate from the hardware.

Some devices can also work in BYOD mode, where the laptop runs the meeting. Logitech states that the Rally Bar Huddle needs no additional licence when it is used in BYOD mode.

Can a video conferencing kit be expanded for a larger room?

Most kits can be expanded with extra microphones, cameras or controllers. The Yealink SmartVision 40 camera supports 2 expansion microphones, Logitech Rally systems accept up to 7 Mic Pods, and the Shure IMXF5 works with Shure ceiling arrays such as the MXA901 and MXA920 through its 8-channel IntelliMix Room DSP.

Check the manufacturer's compatibility list before adding a device, because expansion ports and supported accessories differ between kits.

Which kits suit a boardroom with a long table?

Boardrooms with a long table need a camera with optical zoom and microphones that reach every seat. The Yealink MVC S80 uses the SmartVision 80 camera with four lenses, 20x optical zoom and presenter tracking up to 20 m, and it can be combined with Yealink CM50 ceiling microphones and the AP08 processor.

The Shure IMXF5 is another option for boardrooms designed around ceiling microphones, using an MXA920 ceiling array in Shure's large-room setup.

Is the Shure IntelliMix Bar Pro Kit certified for Microsoft Teams Rooms?

Yes. Shure states that the IntelliMix Bar Pro is certified for medium-to-large Microsoft Teams Rooms. The kit includes the IntelliMix Bar Pro with four 4K AI cameras for a combined 135-degree field of view, a 10-inch touch panel and a wall mounting kit.

It runs on Android and is built on the Microsoft Device Ecosystem Platform (MDEP), and it can be managed remotely through ShureCloud and the Microsoft Pro Management Portal.

How is content shared from a laptop in a room kit?

Content is usually shared through an HDMI or USB-C input on the kit, or wirelessly through the platform. The Yealink MCore 4 has an HDMI input for 4K content sharing and supports wireless sharing with the WPP30 presentation pod, and the Shure IMXF5 touch panel accepts content over its supplied 1.8 m USB-C cable.

For rooms where many guests present, a separate wireless presentation system can also be added.

What network and power does a video conferencing kit need?

A room kit needs wired network connections for its compute, controller and networked audio devices, and mains power at the display position. The Shure IMXF5 includes a PoE+ network switch for its AV devices, and Yealink controllers connect to the MCore 4 through a dedicated RJ45 MTouch port.

Ask IT for the required network ports, VLAN and firewall rules for Teams Rooms or Zoom Rooms before installation, and allow for a dedicated switch where several PoE devices are used.
