Wireless presentation and screen sharing for meeting rooms

A wireless presentation system sends a laptop, tablet or phone screen to the meeting room display without an HDMI cable, through a button, an app, a dongle or the device's own casting feature. A base unit or receiver connects to the display and handles the incoming streams, so presenters change over in seconds. This collection covers the Barco ClickShare C-10, the MAXHUB WB05 screen sharing box, Clevertouch CleverHub 2 and CleverCast, and dongles and casting kits from OneScreen, ViewSonic, Hikvision, Dahua and others.

Wireless sharing solves the presenting part of a meeting. When the room also needs a camera and microphones for remote participants, compare Video Conferencing Kits and Video Bars & All-in-One Systems; when presenters need to write on the content, pair the sharing system with one of the Interactive Panels.

How to choose a wireless presentation system

Number of sources on screen

Decide how many people need to share at the same time. The Barco ClickShare C-10 shows 2 sources on screen side by side, which suits a presenter comparing two documents. The Clevertouch CleverHub 2 and the MAXHUB WB05 let up to 9 devices share at once, and the CleverCast dongle shares up to 8 devices, which suits workshops and classrooms where several groups show their work.

Resolution and frame rate

Check the output resolution against the display and the content. The Barco ClickShare C-10 outputs 4K UHD (3840 × 2160) at 30 Hz, which is sharp for slides and spreadsheets. The MAXHUB WB05 outputs 4K at 60 Hz for smoother video, and the Clevertouch CleverCast offers 4K screen mirroring over Wi-Fi 6. For video with motion, a higher frame rate gives a more natural picture.

Button, app or native casting

The sharing method decides how easy the system is for guests. The Barco ClickShare C-10 uses a USB Button that the presenter plugs into the laptop and presses, with 1 or 2 Buttons in the box, plus the ClickShare app for desktop and mobile. The CleverHub 2 accepts Miracast, AirPlay and Chromecast without extra software, and the CleverCast pairs a phone with a tap on its NFC area.

Network, security and room integration

Standalone or on the company network

Most systems can run their own Wi-Fi for guests or join the company network. The Barco ClickShare C-10 supports WPA2-PSK in standalone mode and IEEE 802.1X with the Button in network integration mode, with a 1 Gbit LAN port and a wireless reach of up to 30 m. The MAXHUB WB05 has dual-band 2.4 GHz and 5 GHz Wi-Fi and can be powered over PoE from the network switch.

Bring your own meeting (BYOM)

BYOM lets a laptop's own meeting app use the room's camera, microphones and display. The MAXHUB WB05 and the Clevertouch CleverHub 2 support BYOM, and the CleverHub 2 can present across up to 3 screens through its dual HDMI and USB-C ports. The Barco ClickShare C-10 is a presentation system only: it does not connect room peripherals, so pair it with a video bar where calls are needed.

Where wireless presentation is used

Meeting rooms and boardrooms use wireless sharing so visitors and staff present without searching for adapters; see Boardrooms & Meeting Rooms. Classrooms and training rooms use multi-source systems so several students or teams can show their screens in turn; see Education & Training Spaces. In UAE offices that host many external visitors, a guest-friendly method such as a button or native casting avoids installing software on visitors' laptops.

Installation and room planning

A wireless presentation system needs a short list of checks before it is ordered:

  • Display inputs: confirm a free HDMI input, or two for systems with dual outputs, and the display's resolution.
  • Network: agree with IT whether the system runs standalone Wi-Fi or joins the network, and which security mode applies.
  • Power and placement: place the base unit near the display in a ventilated position; the Barco ClickShare C-10 is rated for 0 °C to 40 °C.

Mount the meeting room display on a rated VSYS wall mount, floor stand or trolley that matches its VESA pattern and weight, and leave a cable route for the base unit behind the screen.

Wireless presentation systems by type

The products in this collection fall into three types.

Applications and technical planning

  • Meeting rooms with visitors

Rooms that host external guests need sharing that works without software installs. A ClickShare Button on the Barco C-10 or native casting on the Clevertouch CleverHub 2 lets a visitor present in seconds.

  • Classrooms and workshops

Group work needs several screens on the display at once. The MAXHUB WB05 and the Clevertouch CleverHub 2 share up to 9 devices at the same time, so teams can compare their work side by side.

  • Hybrid meeting rooms

When remote participants join, the room needs a camera and microphones as well as sharing. BYOM hubs such as the MAXHUB WB05 connect a laptop's own meeting to the room devices, or a video bar can add them.

Frequently asked questions

How does a wireless presentation system work?

A wireless presentation system has a receiver connected to the display and a sender on the presenter's device, which can be a USB button, an app, a dongle or the device's own casting feature. The Barco ClickShare C-10, for example, uses a ClickShare Button that plugs into the laptop and shares the screen with one press, at up to 4K UHD (3840 × 2160) at 30 Hz.

The receiver decodes the stream and shows it on the display, so presenters change over without unplugging cables.

How many people can share their screens at the same time?

The Barco ClickShare C-10 shows 2 sources on screen at once, while the Clevertouch CleverHub 2 and the MAXHUB WB05 support up to 9 devices sharing at the same time.

The Clevertouch CleverCast dongle shares up to 8 devices. Choose a multi-source system for workshops and classrooms, and a two-source system for meeting rooms where one presenter compares two documents.

Do guests need to install software to share their screen?

Not always. With the Barco ClickShare C-10, a guest plugs the ClickShare Button into the laptop's USB port and presses it, without installing an app. The Clevertouch CleverHub 2 accepts Miracast, AirPlay and Chromecast, which are built into many laptops and phones.

App-based sharing, such as the ClickShare app or MAXHUB Share, needs the app on the device but no button. Choose the method by how many unmanaged guest devices the room will see.

What is BYOM and which systems support it?

BYOM, or bring your own meeting, lets a presenter's laptop run its own Teams or Zoom call while using the room's camera, microphones and display. The MAXHUB WB05 and the Clevertouch CleverHub 2 support BYOM as a central hub for the room's peripherals.

The Barco ClickShare C-10 does not connect room peripherals: Barco lists Room Dock support as no, so it shares content only.

Can a wireless presentation system join the company network?

Yes, most systems can run their own guest Wi-Fi or join the company network. The Barco ClickShare C-10 supports WPA2-PSK in standalone mode and IEEE 802.1X with the Button in network integration mode, and it has a 1 Gbit LAN port.

The MAXHUB WB05 has dual-band 2.4 GHz and 5 GHz Wi-Fi and a Gigabit Ethernet port. Agree the security mode and network segment with IT before installation.

What resolution does wireless screen sharing support?

The systems in this collection support 4K output. The Barco ClickShare C-10 outputs 4K UHD (3840 × 2160) at 30 Hz, and the MAXHUB WB05 outputs 4K at 60 Hz through dual HDMI outputs.

The Clevertouch CleverHub 2 supports 4K with an HDMI cable, and the CleverCast offers 4K screen mirroring over Wi-Fi 6. Actual quality also depends on the Wi-Fi conditions in the room and the content being shared.

Can one system share to more than one display?

Some can. The MAXHUB WB05 has dual HDMI outputs for two screens, and the Clevertouch CleverHub 2 can present across up to 3 screens through its dual HDMI and USB-C ports.

This suits long rooms and training rooms with a display at the front and a repeat display further back. The Barco ClickShare C-10 has one HDMI output for one display.

How far can the presenter be from the base unit?

Barco gives a wireless reach of up to 30 m (100 ft) for the ClickShare C-10, using IEEE 802.11 a/g/n/ac on 2.4 GHz and 5 GHz. MAXHUB rates the WB05's built-in 2T2R Wi-Fi with a high-gain antenna for meeting room use.

Walls, glass and other Wi-Fi networks reduce the usable range, so place the base unit in the same room as the presenters, ideally near the display and not inside a closed metal cabinet.

How are wireless presentation systems powered?

Base units use either a power adapter or PoE from the network switch. The MAXHUB WB05 accepts a 12 V adapter or PoE, and the Clevertouch CleverHub 2 supports PoE+ or USB power of at least 65 W.

The Barco ClickShare C-10 draws 5 W to 10 W in operation and 24 W at most. Plan a socket or a PoE port behind the display before installation.

What should be checked before installing a wireless presentation system?

Check the display inputs, the network plan and the base unit position. Confirm a free HDMI input, or two for dual-output systems such as the MAXHUB WB05, and the display's native resolution.

Agree with IT whether the system runs standalone or on the network, and place the base unit in a ventilated position: the Barco ClickShare C-10 is rated for 0 °C to 40 °C, with a maximum noise of 25 dBA at 0 °C to 30 °C.
