Displays and systems for boardrooms and meeting rooms

A boardroom has to do three jobs well: show presentations clearly to everyone at the table, let people write and work on content together, and connect remote participants by video. This page brings together the parts for those jobs: Huawei IdeaHub, Clevertouch and OneScreen collaboration displays from 65 to 86 inches, the Combox Horizon 105, the Logitech Rally Bar for video meetings, and commercial TVs for simple presentation rooms.

Use this page to plan the room as a whole. If the main need is remote meetings across many rooms and desks, see Video Conferencing & Hybrid Workspace Solutions; if a long room needs one very large presentation screen, compare LED & Large Format Displays.

Designing a boardroom

Screen size and viewing distance

Choose the screen by the distance to the furthest seat and the smallest text people must read, such as spreadsheet figures. A 65-inch display suits a small meeting room, 75 to 86 inches a typical boardroom table, and larger formats such as the 105-inch Combox Horizon or a large format display suit long tables. Place the screen so no one has to turn away from the table to read it. For rooms that need two screens, one for content and one for remote participants, plan both at the same end of the table.

All-in-one display or separate parts

A collaboration display combines the screen, touch, camera, microphones and speakers in one unit. The Huawei IdeaHub B2 has a 4K screen with 20 touch points, a 4K camera with an 80-degree horizontal view, six microphones with a 10 m pickup distance and 30 W speakers. Separate parts, such as a display with a Logitech Rally Bar, let each be sized for a larger room.

Presenting and sharing content

Most boardroom meetings start with someone sharing a laptop. Collaboration displays include their own wireless sharing, such as the dual Wi-Fi projection of the Huawei IdeaHub B2, while a dedicated receiver from Wireless Presentation & Screen Sharing gives every room the same one-button method. Keep a wired HDMI or USB-C connection at the table as a backup for guests.

Video meetings and presentation rooms

Video meetings in the boardroom

A boardroom camera must show every seat clearly, often from the far end of a long table. The Logitech Rally Bar has 15x HD zoom, of which 5x is optical, and accepts up to 3 additional Rally Mic Pods for seats beyond its own microphones. Complete systems with cameras, microphones and controllers are in Video Conferencing Kits.

Rooms for presentation only

Some rooms only need to show a laptop or a stream, with no touch or video calls. A commercial TV such as the LG 75UK762H or the Samsung HG50AU800 serves this well at lower cost, and can be upgraded later with a video bar if the room starts hosting remote meetings. Hospitality TVs such as these also suit hotel meeting rooms and business centres, where guests mostly connect a laptop by HDMI. Plan an HDMI cable and a power point at the table, and a wall mount rated for the screen.

Where these systems are used

These systems serve boardrooms, executive meeting rooms, project rooms and briefing rooms in offices, banks, government buildings and hotels. Rooms that host board meetings or client briefings put presentation clarity first, while project rooms need touch and writing for teams working on the same content. In UAE office towers, many meeting rooms have floor-to-ceiling glass, so place the display away from direct sun and use blinds, as glare on the screen and backlight behind the seats both reduce what people and cameras can see.

Installation and planning

A boardroom works best when the display, camera, table and cabling are planned together. Before ordering, check:

  • Wall and weight: the wall construction and the weight and VESA pattern of the chosen display.
  • Camera line of sight: the camera at the display, with every seat inside its field of view.
  • Table connectivity: power, network and a wired presentation connection at the table, with a route to the display.

For wall mounts, floor stands and mobile trolleys for 65 to 105-inch displays, see the VSYS range: the VSYS VS01A-69F fixed mount is rated for 60 to 120-inch displays up to 120 kg on VESA patterns up to 900 × 600 mm, and the VSYS VTLX18H-610TW motorised cart for 55 to 100-inch displays up to 120 kg.

Applications and technical planning

  • Project and collaboration rooms

Teams working on the same plan or document need touch and writing. Collaboration displays such as the Huawei IdeaHub B2, with 20 touch points and a built-in 4K camera, let a team write and call in one unit.

  • Boardrooms with remote members

Long boardroom tables need optical zoom and microphones near every seat: a Logitech Rally Bar with 5x optical zoom and up to 3 additional Mic Pods, below a display sized for the room.

  • Briefing and presentation rooms

Rooms that only show presentations need a clear, large screen and a simple way to share. Wireless presentation receivers give guests a one-button connection without installing software.

Frequently asked questions

What size display does a boardroom need?

Choose by the distance to the furthest seat and the smallest text people must read. A 65-inch display suits a small meeting room, 75 to 86 inches a typical boardroom table, and 98 to 105 inches or a large format display a long boardroom.

This page includes collaboration displays from 65 to 86 inches, such as the Huawei IdeaHub B2 and Clevertouch LUX for Enterprise, and the 105-inch Combox Horizon. Check the wall can carry the display's weight before choosing the largest size.

What is a collaboration display?

A collaboration display is a large touchscreen with a built-in camera, microphones, speakers and meeting software, so one unit can run presentations, whiteboarding and video calls.

For example, the Huawei IdeaHub B2 has a 4K screen with 20 touch points, a 4K camera with 2x digital zoom and an 80-degree horizontal view, six microphones with a 10 m pickup distance, 30 W speakers and dual Wi-Fi for wireless sharing. It comes in 65-inch and 75-inch versions.

Is a collaboration display or a display with a video bar better for a boardroom?

A collaboration display is simpler for small and medium meeting rooms, because one unit holds the screen, camera, microphones and speakers. A separate display with a video bar suits larger boardrooms, because each part can be chosen for the room.

For example, the Logitech Rally Bar adds 15x HD zoom with 5x optical, and up to 3 extra Rally Mic Pods for seats at the far end of a long table. The display can then be any size the room needs.

How far can the Huawei IdeaHub B2 microphones pick up voices?

Huawei specifies a sound pickup distance of 10 m for the IdeaHub B2, using six microphones with a 180-degree pickup angle and a frequency range of 100 Hz to 20 kHz.

That covers most meeting rooms and small boardrooms from the display end. In long rooms with hard surfaces, test pickup from the furthest seat before handover, and treat echo with soft furnishings or acoustic panels if remote participants hear the room as hollow.

How do guests share their laptop screen in a meeting room?

Most rooms offer two methods: wireless sharing through the display's own app or a dedicated wireless presentation receiver, and a wired HDMI or USB-C connection at the table as a backup.

The Huawei IdeaHub B2, for example, uses dual Wi-Fi modules for wireless projection and supports driver-free USB projection. For rooms with several display brands, a dedicated wireless presentation system keeps the method the same in every room.

Can a commercial TV be used in a meeting room?

Yes, for rooms that only show presentations or streams. A commercial TV such as the 75-inch LG 75UK762H or the 50-inch Samsung HG50AU800 is a lower-cost screen for a laptop connection.

It does not include touch, a camera or microphones. If the room later needs video calls, add a video bar such as the Logitech Rally Bar below the screen, or choose a collaboration display from the start when touch and calls are planned.

Where should the camera be placed in a boardroom?

Place the camera at the display end, at about eye level, so remote participants see people looking towards them. Every seat should be inside the camera's field of view, which is 80 degrees horizontally on the Huawei IdeaHub B2 and 90 degrees diagonally on the Logitech Rally Bar.

In long rooms, use a camera with optical zoom so people at the far end stay sharp, and avoid placing seats with their backs to a bright window.

How many people can write on a collaboration display at once?

The number of people who can write at once is set by the display's touch points: the Huawei IdeaHub B2 supports 20 touch points, which lets several people write or move content at the same time.

In practice, two to four people working at the screen together is typical in a project room. Compare touch points, pen response and the whiteboard software across models on the Interactive Panels page before choosing for a team that writes a lot.

How do glass meeting rooms affect a boardroom AV system?

Glass walls and windows cause two problems: daylight glare on the screen and echo in the audio. Place the display away from direct sun, use blinds, and avoid seats with their backs to bright glass, which leaves faces dark on camera.

Hard glass and stone surfaces reflect sound, so add soft furnishings or acoustic panels and test speech from the remote side. Microphones closer to the talkers, such as Rally Mic Pods with 4.5 m pickup, also help.

What information is needed to plan a boardroom AV system?

Plan with six facts: the room size and table length, the number of seats, how the room is used (presentation, collaboration or video calls), the meeting platform, the wall construction at the display, and the daylight in the room.

These decide the display size from 65 to 105 inches, whether a collaboration display or a separate display with a video bar fits better, how many microphones are needed, and which mount or stand carries the display.
