What is a Microsoft Teams Rooms system?

Microsoft Teams Rooms is Microsoft's platform for meeting rooms. A Teams Rooms system runs Teams on a dedicated room device, either Teams Rooms on Windows (a room computer such as the MAXHUB XCore Kit Pro) or Teams Rooms on Android (an all-in-one video bar or board). It connects to a camera, room microphones and speakers, a touch console on the table and one or two displays.

People start or join the meeting with one tap on the console, share content from a laptop, and the room device stays signed in to Teams all day, so there are no cables to find and no laptop needed to run the call.

Choosing the right Teams Rooms system for each room

  • Focus and huddle rooms (2 to 6 people): an all-in-one video bar such as a MAXHUB XBar, or a MAXHUB XBoard with built-in camera and audio, plus a touch console
  • Medium rooms (6 to 12 people): a MAXHUB XT20-VB video bar kit or a Yealink MVC kit, with an expansion microphone for the far end of the table
  • Large rooms and boardrooms (12 people and more): a Windows room computer such as the MAXHUB XCore Kit Pro with PTZ cameras, ceiling microphones and dual displays
  • Content sharing: HDMI ingest at the table plus wireless sharing
  • Mounting: VSYS wall mounts, floor stands and carts sized to the display

We size every room from its dimensions, seating, display size and network before recommending a kit.

Teams Rooms on Windows vs Teams Rooms on Android

Teams Rooms on Windows runs on a dedicated room computer. It supports more peripherals, such as several cameras, ceiling microphones and a DSP, so it suits medium rooms, boardrooms and rooms with front-of-room HDMI and dual displays. MAXHUB XCore and XT20 kits and Yealink MVC kits are Windows systems.

Teams Rooms on Android runs inside an all-in-one video bar or board, with the computer, camera, microphones and speakers in one device. It is quicker to install and suits huddle and small-to-medium rooms. MAXHUB XBoard models for Teams Rooms and MAXHUB XBar Android kits are examples.

Both use the same Teams experience on the touch console, and both are managed from the Microsoft Teams Rooms Pro Management portal or the Teams admin center.

Display size, camera and audio for Teams Rooms

  • Display size: a common planning rule is that the furthest viewer should sit no more than about 4 to 6 times the screen height away. A 65-inch screen suits most 6 to 8 seat rooms; 75 to 86 inches suits 10 to 14 seats; 92 inches or dual displays suit larger rooms. See interactive panels and commercial displays.
  • Camera: wide-angle video bars cover rooms up to about 6 m deep; larger rooms need PTZ or multi-lens cameras with optical zoom, speaker tracking and presenter tracking.
  • Microphones: built-in bar microphones typically cover 4 to 6 m; add tabletop or ceiling microphones for longer tables.
  • Network: each room device needs a wired network port, and PoE switches simplify powering consoles, cameras and microphones.

Frequently asked questions

What is Microsoft Teams Rooms?

Microsoft Teams Rooms is Microsoft's platform for meeting rooms. A Teams Rooms system includes a dedicated room device, a camera, room microphones and speakers, and a touch console, so people can start or join Teams meetings with one tap.

What is the difference between Teams Rooms on Windows and Teams Rooms on Android?

Teams Rooms on Windows runs on a room computer and supports more peripherals, such as several cameras and ceiling microphones, so it suits medium and large rooms. Teams Rooms on Android runs inside an all-in-one video bar or board and suits huddle and small-to-medium rooms.

Which Teams Rooms system suits a small huddle room?

A huddle room for 2 to 6 people is usually served by an all-in-one video bar or a MAXHUB XBoard with built-in camera, microphones and speakers, plus a touch console and one display.

What display size do I need for a Teams Room?

A common planning rule is that the furthest viewer sits no more than 4 to 6 times the screen height away. A 65-inch display suits most 6 to 8 seat rooms, 75 to 86 inches suits 10 to 14 seats, and larger rooms use 92-inch screens or dual displays.

Do Teams Rooms need a Microsoft licence?

Yes. Each Teams Rooms device needs a Microsoft Teams Rooms licence (Teams Rooms Basic or Teams Rooms Pro) assigned to the room's resource account in your Microsoft 365 tenant.

How many displays does a Teams Room need?

One display works for most small and medium rooms. Larger rooms often use two displays, one for remote participants and one for shared content, which Teams Rooms on Windows supports.

Can a Teams Rooms system join Zoom or Google Meet calls?

Many Teams Rooms systems can join Zoom and Google Meet meetings through Direct Guest Join, when the administrator enables it. Support depends on the device and its software version.

How far can a video bar camera and microphones cover?

Wide-angle video bars typically cover rooms up to about 6 m deep, and their built-in microphones pick up voices within roughly 4 to 6 m. Larger rooms need PTZ cameras and extra tabletop or ceiling microphones.

What network does a Teams Room need?

Each Teams Rooms device needs a wired Ethernet connection with internet access to Microsoft 365. PoE switches are often used to power touch consoles, cameras and microphones over the same cable.

How is a Teams Room managed and updated?

Teams Rooms devices update automatically and are managed from the Teams admin center. Teams Rooms Pro licences add the Pro Management portal for monitoring room health and alerts.
